5. Our lawful basis for using your information

Under UK data protection law, we must have a lawful basis for using personal information.

Depending on the situation, we may rely on:

- Legitimate interests: to respond to enquiries, manage business communications, provide quotations and operate our business.
- Contract or steps before a contract: where you ask us to provide a quote or enter into a service arrangement.
- Legal obligation: where we need to keep records or comply with legal requirements.
- Consent: where consent is required, such as for certain non-essential cookies or optional marketing communications.

For contractor and steward onboarding, we may rely on legitimate interests, steps before entering into a contractor agreement, legal obligation where checks are required, and consent where appropriate.

6. Who we share information with

We do not sell personal information.

We may share information with trusted service providers where necessary to operate our business, such as:

- Website and hosting providers
- Email and IT service providers
- Professional advisers
- Payment, accounting or administration providers, if required
- Legal, regulatory or law enforcement bodies where required by law

Where we use third-party service providers, we only share information where necessary for business purposes.

7. How long we keep personal information

We only keep personal information for as long as necessary.

General enquiries that do not become active work may be kept for a limited period so we can manage follow-up communications and business records.

Client-related information may be kept for longer where required for contractual, accounting, insurance, legal or regulatory purposes.

When information is no longer required, we will delete it securely or anonymise it where appropriate.

Initial contractor or steward interest form responses may be kept for a limited period while we review suitability and manage follow-up. If the person does not proceed, the information will be deleted when no longer required unless there is a clear business, legal or compliance reason to keep it for longer.

Where a contractor or steward is onboarded, relevant records may be kept for contractor management, assignment records, insurance, legal, regulatory, tax or compliance purposes.
